In spite of instant messaging, e-mails and workflow applications, the telephone is an important means of communication. Thus, in an integrated communication solution, a secretary has to maintain a telephone list manually with a lot of effort and an employee has to search desperately for the cell phone number of a colleague. This is not how it should be done.

Integration in the Domino environment

The same principle of application as in case of all F&M Groupware & Applications Suite applications is used: use and upgrade existing infrastructure, wherever necessary!

The telephone numbers of your employees can be maintained perfectly in the Domino-directory (N&A) of your server and this is where they should actually be maintained.

Unfortunately, it is not practical to print data there and information that is not required for a telephone list and that interferes in you working is often included here due to the technical character of the central Domino address book. On the contrary, important information like emergency telephone numbers or person-independent telephone numbers such as direct dialling for a particular conference room and finally employees not having e-mail access but a telephone number is often missing.

The telephone database synchronizes automatically with the central address book system and edits numbers in complete lists that can be printed properly. Moreover, necessary information like location and department information is used for special views.

Exclusion lists for department and company names are mentioned in the Domino directory for individual persons in a central profile document. This telephone directory thus shows only desired information. Besides this, manually created data is also maintained.

Cell phone data maintenance

The telephone database can also maintain a cell phone directory so that the allocated company cell phones are documented completely with their PIN and IMEI codes.

Naturally, even separate invoices can be posted to obtain a department-related overview of costs for example.

Blue pages

The telephone database can be used in a personal search page for your intranet along with domino webware. Photos can also be maintained to help you put a face to the name of the person from whom you receive mails and telephone calls!
