Compatible with the leave manager
Substitute Management is the latest product in the F&M Groupware & Applications Suite and is perfectly compatible with the leave management database.
The problem could be this: your employee may probably think of activating his or her stand in when on leave and has probably even left a note informing the sender of an e-mail as to who to contact in his absence. The sender then knows that the e-mail will remain unattended for two weeks. Does the colleague acting as his substitute also know this?
Moreover, employees often do not use the delegation option and so there is no way the substitute can access the mailbox of the absent colleague in case of doubt.
The substitute database functions independently and solves this problem in a simple manner. Substitute information stored in the organisation database or the address book is updated periodically and if the stand in has been activated, the substitute is notified of incoming e-mails of his absent colleague. Access rights for the substitute are automatically set for a temporary period during which the employee is going to be absent.
The reference to the original mail is naturally sent as a document link since the user should be able to view all the mails after coming back from leave!
Easy to use: Fully automatic!
The SV manager functions almost without any complex operations. The user simply has to store the name of his substitute in the Notes address book and that’s it!
he user only needs to follow the link on the welcome page to access documents and thus need not be familiar with the finer details of the Notes address book. The SV manager checks these agent details automatically at regular intervals.
On the other hand, the user can have a quick overview of the currently absent employees and the details of those deputising can naturally be obtained in chronological order. Even a business trip thus becomes transparent for everyone.
